Switching Property Managers Mid-Lease? Here’s What You Need to Know

At HARTS PROPERTY, we’ve had quite a few landlords reach out lately asking the same question:

“Can you manage my property even though there are already tenants in place?”

Short answer: Yes, absolutely.
Long answer: Let’s break it down so you know exactly how it works—and why it might be the best move you make for your investment this year.

What Is Takeover Management?

“Takeover management” just means we step in and take over the management of your property while it’s already tenanted.

There’s no need to wait until the lease ends or the tenants move out. We liaise with the outgoing property manager, handle the handover of documents, keys, ledgers—everything. You don’t need to lift a finger.

If your current agency isn’t giving you the service you expected, or communication is poor, or maintenance isn’t being handled right—why wait?

❌ Common Myths About Switching Property Managers

Here are some things we hear all the time:

“I have to wait until the lease ends.”
Nope. The lease is with the tenant—not the agency. You can change property managers at any time.

“I’ll lose my tenant if I change managers.”
You won’t. In fact, tenants often welcome a change—especially if they haven’t been getting the attention or responsiveness they deserve.

“It’s going to be a big hassle.”
Not with us. We do this all the time. We make it easy, quick, and stress-free. Think of it like changing accountants or switching banks—except we do all the legwork.

What Happens When We Take Over?

Here’s how we handle takeover management at HARTS:

  1. Initial Chat
We get the details from you—your current lease situation, tenant status, and what’s been bothering you.
  2. Notice to the Current Agency
We will create a termination notice for you to sign and we will send it to your current agency (usually 30 days as per your agreement)
  3. We Coordinate the Handover
We collect all necessary files, leases, maintenance records, keys, and rental ledgers from the outgoing manager.
  4. Tenant Introduction
We introduce ourselves to your tenants, give them clear lines of contact, and make sure the transition is smooth and respectful.
  5. We Get to Work
Rent rolls in as usual. Repairs get actioned properly. Communication is clear. You’ll know exactly where you stand, and your tenants will too.

Still Not Sure?

If you’re wondering whether it’s time for a change, chances are—it probably is.

We always say: You shouldn’t have to chase your property manager. They should be chasing the best for you.

So if you’ve been thinking about making a switch, let’s chat. We’ll talk you through it with no pressure, no jargon, and no mucking around.
